Employing a DAM solution is a lot like having a big fileserver hooked up to the Internet. This means, if you wish to place all you digital assets on the DAM, you will need to ensure that users only have access to those files which they are meant to have access to and nothing else.
One of XMedia’s ideals is to help the user become as self-sufficient as possible in order to freeing resources in the marketing department. This can only be achieved if users have access only to those assets he or she needs to have access to.
XMedia offers a comprehensive set of permission management tools. This enables making the right assets available to the right user – at the right time. It is up to you to decide which elements individual users should be able to access or download, for instance which users that are allowed to convert images or film clips.
From an end-user perspective, handling assets on XMedia is as easy as it is on a local computer. For instance, if you want to copy a file, simply invoke the contextual menu, then choose "copy" and paste the file to where you want to place it (provided, of course, that you have permission from the administrator to perform this task).
All users get a personal workspace which allows them to upload their own assets. The user assets are stored on the DAM. This ensures that they are continuously being backed up. It also allows the user to activate all of XMedia's built-in tools on the assets. There is no need for conversion software on the local computer, everything is done on XMedia.
Converting files using XMedia is as easy as choosing the desired output. For instance, if an image is to be publicized a newspaper, XMedia will optimize the image for exactly that purpose according to industry standards – or if a film clip it to be made available on the company intranet, XMedia will automatically optimize the clip to look its best.
If particular needs differ from the XMedia standards, conversion presets can be added without any problems.
