Uploading assets to the DAM is simple. If you want to share the assets with other users, the simplest way to do that is by providing access to your XMedia system for those you want to share the files with.

When implementing XMedia, normally all planned users are registered in the system from the start. Over time, however, employees and business partners will come and go. With XMedia that is no problem; it is easy to create rules for who can be allowed access the system and who cannot.

On the login page, new users can request access. If they apply from a pre-approved email domain, the approval procedure is 100% automatic. Approved new users automatically receive an email with their username and password for the system. For low level access, new users can start using the system within minutes. Applicants applying from a non-approved email domain and external users, for instance business partners, need to go through a manual approval process, where the system automatically alerts the company’s XMedia user administrator, i.e. the Brand Manager.

XMedia users are able to share items among each other. All users have their own individual set of Collections similar to shopping baskets or Lightboxes known from other systems. Users are free to create as many Collections as they want. Such Collections can be shared between users. The user who created a particular Collection can allow other users to subscribe to it thereby enabling them to see all subsequent updates. This is an easy way of collaborating without having to send files back and forth.

Collections also makes it easy to work with many different files from various parts of the corporate structure. With Collections such files are always available from one source.

In case you need to share files occasionally with non-approved recipients whom you do not want to allow access to your XMedia system, there is a "Share external" function which can be used. The "Share external" function allows approved users to share files with any external party. Simply choose the assets in question and then share them via the link provided by XMedia.

When the recipient activates the link, the files will start to download immediately.
